Conference Rooms

Faculty and staff may reserve certain conference rooms across the College for meetings or other events. 

Dean's office conference room

Only direct reports to the Dean of the College of Arts and Letters and their administrative assistants may set up and hold meetings in the 100 O’Shaughnessy conference room.

A Dean, direct report to the Dean, or a direct report’s administrative assistant must conduct meetings held in the conference room. If the Dean of the College schedules a luncheon meeting, the Coordinator of Office Services will order the food and make other necessary arrangements. All other individuals scheduling meetings in the conference room will have their respective administrative assistants order food or make other required arrangements. Drinks for meetings conducted are available in the 100 O’Shaughnessy kitchen refrigerator.

Phone conferencing, computer, and wide-screen TV services are available in the conference room. For assistance, the Coordinator of Office Services will make certain the appropriate services or contact in ALCO is notified.

Common conference rooms:

Staff and faculty of the College may reserve common conference rooms for academic/University purposes. These rooms include 242 in O’Shaughnessy Hall. Only one staff member in each department has access rights to reserve 242 O’Shaughnessy. If that person is not available, then the Dean’s Office Coordinator is the backup person. When not in use by the Dean, 242 O’Shaughnessy is available for use by staff and faculty. In the event that the use of the room has been approved by the Dean’s office and there is a sudden need by the Dean, the meeting may be bumped from the room.

The Google Calendar request must include:

  • the meeting's purpose
  • the number of attendees
  • the name of the meeting coordinator
  • a request for technology that includes ALCO as a guest

If you plan to have food at your meeting, please reserve time before the meeting for set-up and time after the meeting for clean-up.

Notes on technology and food plans should be included in the body of the request. In the event that your meeting is canceled, you must delete the meeting from the calendar.  A phone and computer are available in 242 O’Shaughnessy. Conference rooms may not be used as classrooms without permission from the Associate Dean for the Humanities. Failure to comply with this procedure may result in becoming ineligible to reserve room resources in the future.
